Policies & Procedures
At Thomas Medical Services, we are committed to delivering safe, personalised healthcare services in a professional and respectful environment. To ensure clarity and consistency, we ask all clients to review and follow the policies below.
1. Payment & Appointment Policy
- All appointments (clinic & home visits) must be paid in full when booking.
- Prescription-based treatments (e.g., IV therapy, testosterone replacement therapy), sufficient notice is required for clinical review and ordering. Short-notice bookings may be rescheduled.
2. Cancellation, Rescheduling & No-Show Policy
- Cancel 7+ days before: No charge and free rescheduling for prescription services (or cover the prescription fee if preordered).
- Cancel less than 7 days before: 50% of the treatment cost applies.
- No-shows: Full 100% fee applies.
- Hospital/medical cancellations: Please speak to management – we’ll handle these on a case-by-case basis.
IV Saline Package Refunds
- Pre-paid IV therapy packages are non-refundable once treatment has commenced. This is due to advance ordering of medication and clinician scheduling.
- In exceptional circumstances (e.g. medical withdrawal from treatment), a partial refund may be considered at management's discretion.
- If a refund is approved, completed sessions will be recalculated at the standard single-treatment rate, not the discounted package rate. The difference will be deducted from the refund total.
- An admin fee will apply to cover prescription ordering and clinic resources.
- Refunds will be issues via route of initial payment.
3. IV Saline Therapy Conduct
- All patients receiving IV saline therapy must treat medical equipment with care.
- If a client is found to have tampered with, altered, or interfered with their IV or any equipment provided, treatment will be terminated immediately with no refund given.
- Tampering is considered a serious safety concern and will be reported as necessary.
- Please note we do not offer longer infusions our appointments are booked via a litre per hour slot. If you require a longer period of time this has to be agreed by either Charntelle or Mags beforehand.
4. Treatment Suitability & Refusal
- We reserve the right to refuse or postpone treatment if we believe it is unsafe or clinically inappropriate.
- In these cases, a full refund will be issued (excluding prescription and admin costs if already incurred).
- If a client presents with new or undisclosed health conditions on the day, treatment may be declined at the clinician’s discretion.
5. Behaviour & Conduct
- Rudeness, aggression, or abusive behaviour towards staff will not be tolerated under any circumstances.
- We reserve the right to terminate services immediately and refuse future bookings if this occurs.
- No refund will be issued in cases of misconduct or disrespectful behaviour.
6. Confidentiality & Results
- All blood test results and medical data remain strictly confidential.
- Results are not shared with the NHS or your GP.
- Results are sent directly from Thomas Medical Services to you, unless otherwise agreed in writing.
- You are responsible for sharing results with your GP or consultant if you wish them to be involved in your care.
7. Clinical Integrity
- Clients must fill out consultation forms accurately and completely.
- Any false or withheld information may result in cancellation or refusal of treatment.
- We take safety seriously, and our clinicians must be able to make fully informed decisions based on your health status.
